Information
Beginning Wednesday February 1st, faculty
and staff who are paid on a monthly basis will begin utilizing the new online eLeave
system for submitting leave requests to their supervisor for
approval. Both employees and
supervisors should plan on attending one of the sessions listed below.
eLeave is an integrated
online system that captures leave requests entered by the employee and
workflows them to the supervisor for approval. Once approved, the request
workflows directly into the university's human resources system eliminating the
need for paper and human resources data entry. Currently, over 20,000
faculty and staff are utilizing the system at the university in every major college
including the colleges of Medicine, Arts and Sciences, Engineering,
Agriculture, and Education.
- Why move to an online leave
request system?
Benefits of
moving to eLeave include:
- No need for paper request forms and the
associated tracking and data entry
- Web-based system can be accessed from home or
while traveling – submit your request at anytime if you have a computer with
web access. No need to wait until you get a paper form to complete and
submit.
- Not sure if your request has been approved?
Not only will you have instant access from anywhere to view submitted requests
and real time approvals but you will receive an email notification when your
request has been approved. No more guessing whether a request has been
approved or not.
- Not sure if you submitted a request yet?
You can search historical and future information to see if you submitted a
request or not for a certain date or a set of dates.
- Instant access to your leave balances at the
time you submit a request – no more having to check your paycheck stub or
contacting your HR Professional to see if you have enough leave time accrued.
- Monthly payroll certification process (signing
of payroll documents by supervisors each month) will be moved to an online
certification process eliminating the printing of thousands of pages of payroll
documents.
- Who will use the eLeave system?
Faculty and staff who are eligible
for university leave benefits and who are paid on a monthly basis will begin
using the eLeave system on February 1st. If
you are unsure as to whether or not you are eligible for paid leave benefits,
please see your departmental HR Professional for assistance.
PLEASE NOTE: Graduate
students in Graduate Associate titles, Residents, and
those faculty and staff who do not accrue benefits leave are exempt
from using the eLeave system and should continue to use their current process
for submitting leave requests. Interns will be required to
use eLeave for sick leave, but all other leave time will be reported using the
current paper form. Graduate students must still arrange their leaves
with their supervisors and submit the Funded Graduate Student Leave
Reports. For more information, see your department's Graduate Program

- Will there be training on how
to use the system?
YES! Eligible employees and supervisors should plan on
attending one of the following sessions to learn more about using eLeave!

- What types of leave do I use
eLeave for?
You should use eLeave for the
following types of leave:
- Sick leave
- Illness/injury of self or family member
- Medical appointments for self or family members
- Death in family
- Exposure to contagious disease
- Vacation
- Vacation in place of sick leave
- Parental Leave
- Organ Donation Leave
- Military Leave
- Jury Duty
- Family Medical Leave
- Medical Appointments
- Unpaid Time Off/Leave without Pay
- What about
Business/University Leave?
At the current time, the process
for submitting university/business leave will not change. Faculty and
staff should continue to use the appropriate Leave of Absence forms as well as
the appropriate outside consulting/conflict of interest paperwork.
Business Leave will move to the new
system effective April 1st. At that time, each department will
be communicating the procedures for submitting business/university leave.
- What if I must use vacation
time for outside consulting?
If you use vacation time for
outside consulting, you must submit the appropriate consulting forms and submit
an eLeave request for the vacation time.
- What do I do if I submitted a
paper leave request prior to February 1st?
Nothing! Forms submitted
prior to February 1st, will be entered into the system by the
departmental HR Professional. Employees can view submitted requests in
the system after February 1st.
After February 1st, you
can access the eLeave system at http://eleave.osu.edu
- What password do I use to
access the system?
You will use your Kerberos ID
(name.#) and/or password to access the eLeave system. If you don't know
your Kerberos ID, contact the OIT Help Desk at (614) 688-HELP (4357) for
assistance in confirming your Kerberos and/or password. This is not the
same password you use everyday to log into your CVM computer. You will
not be able to access eLeave without your Kerberos ID/password. If you
have not activated your OSU Kerberos ID and name.# email account, go to http://my.osu.edu for instructions – you will need
your employee ID number (this is the shorter number that appears on your
BuckID).
- Why aren't biweekly employees
using eLeave?
Biweekly employees, including
students, will be transitioning to eLeave in coordination with the
implementation of the new eTimesheet/Webclock system scheduled for March/April.
- I supervise monthly paid
employees, how will I approve requests?
Attached is a "Quick Guide for
Supervisors". However, supervisors should plan on attending one of the
training sessions to obtain further training OR they may contact their
departmental HR Professional for one-on-one.

eLeave?
